Terms and Conditions of Hire.
For the purposes of these Conditions of Hire, “Seale Village Hall” refers to the main room, toilets, cloakroom, kitchen and outdoor area only.
Capacity of Seale Village Hall — 120 people which must not be exceeded.
Applications for the hire of Seale Village Hall must be through the Bookings Secretary. Payment should be made by Bank Transfer unless agreed otherwise with the bookings secretary. Charges will apply for the actual hours used or booked whichever is the longer. Additional charges may apply for the use of storage this will be at the discretion of the management committee. Booking preference will be given to local residents and organizations and established hirers.
The deposit, if required, will be returned to you within seven days of the booking less the cost of any damage or breakages which may have occurred.
Cancellations will require seven days’ notice, otherwise full payment required.
No sellotape, blu-tack or other forms of fixing to be used on walls. Please use only the hooks in the walls provided.
Crockery, if used, must be washed and replaced. The cooker must be left clean and tables wiped down before stacking. The bookings secretary must be advised of any breakages for which there may be a charge. Tea towels are not provided
All rubbish generated by the hirer’s use of the hall must be removed from the premises.
Fire exits must be left unlocked during the occupancy of Seale Village Hall.
Before leaving Seale Village Hall, it must be securely locked at all points of access and the key to be returned to the key box. Lights, appliances and taps must be turned off. Failure to do so will result in a charge.
The hirer is responsible for ensuring the hall is vacated at the end of the booked time and that floors are swept and that the hall is returned to the original condition prior to the hiring.
The Committee accepts no responsibility for personal belongings including clothing left in any part of the building.
Seale Village Hall is not licensed for the sale of alcohol. Special Events License can be obtained from Guildford Borough Council to allow alcohol to be sold on the premises. Please discuss with the Booking Manager. Confirmation that this has been done must be given to the bookings secretary seven days prior to the event.
Seale Village Hall operates a no smoking policy. Smoking is not permitted anywhere within Seale Village Hall or in the garden area.
The hirer must not permit the performance of any dramatic, musical or other work where copyright exists without the consent of the owner of such copyright. Any commercial organization and individual earning an income from providing the activity (such as commercial aerobics groups, dance classes or slimming clubs) or any event where the profit does not go entirely to the voluntary organization which operates the building, must obtain a license from the Performing Rights Society Ltd who address is Copyright House 29-33 Berners Street, London W1. Such license application shall be made prior to holding such entertainment. It is the responsibility of the hirer to ensure that noise levels do not become a nuisance to residents.It is the responsibility of the hirer to ensure that reasonable consideration is given to the local residents by their clients/guests/users when parking, between classes and when entering and leaving the premises
The Hirer will, during the period of hire, be responsible for supervision of the premises and undertakes to keep the Management Committee indemnified against all claims, demands, actions, suites proceedings, costs, damages and expenses made, brought or suffered by any persons admitted to the premises in the course of the hiring.
The Hirer shall be responsible for the safety of children present during the hire period.
The First Aid Box is located in the kitchen.
The boiler thermostat and timer are not to be adjusted. Radiator thermostats if altered must be returned to their original setting.
Chairs to be stacked no more than 10 high
The hirer is responsible for the movement of their own equipment.
Where Seale Village Hall is hired for dances or other such event providing entertainment or music such entertainment or music shall cease no later than 11pm.
The premises must be vacated by midnight.
Force Majeure. An event of “Force Majeure” means an event or circumstance beyond the reasonable control of that party including (without limitation) any act of God, inclement weather, failure or shortage of power supplies, flood, draught, lightening or fire, strike, lock out or trade dispute, acts or omissions of government or any other quasi-governmental organization, any telecommunications carrier, operator or administration or other competent authority, the act or omission of any Internet service provider, war, military operations, acts of terrorism or riot delay or failure in the manufacture, production or supply by any third party of equipment or services. If, as a result of a Force Majeure event, Seale Village Hall is unable to honour any hiring, then it shall not be deemed to be in breach of this Agreement or otherwise liable to the Hirer for any losses it may suffer.
The Management Committee reserves the right to alter and amend these conditions of hire and regulations at any time. We also reserve the right to refuse or cancel hire at our discretion.
